Background

Graythwaite Adventure is an award-winning activity provider, located on the 5,000-acre Graythwaite Estate in the heart of the Lake District National Park. They are experts in offering 4x4 off-road driving, clay pigeon shooting, archery, axe throwing, bushcraft, kayaking, canoeing, paddleboarding and RIB tours.

The challenge

Graythwaite Adventure was an extension of their owner’s corporate events company and the challenge began as they were managing all bookings manually via email or phone. As the business expanded, the time-consuming task of handling guest enquiries, bookings, and calendar management became overwhelming.

Numerous inquiries outside regular business hours compelled the team to extend their workdays into weekends to cope with the increasing booking administration.

Recognising the need for a more automated digital solution, the challenge intensified with the decision to rebrand and prioritise Graythwaite Adventure as a separate entity so this was one big project.

Beyonk's tools have empowered Graythwaite Adventure. The resource management tool ensures bookings align with available equipment, preventing overbooking

Staff scheduling avoids overbooking based on staff availability. This allows staff members to know in advance which activities they’re running and when. The pending bookings feature enables pre-authorized bookings for complex packages, streamlining logistics. This avoids sales leakages from enquiries and gives Graythwaite Adventure the ability to easily accept or decline bookings and payments. 

Beyonk's support in digitising online bookings, enabling simpler daily management and expanding through channels like Cumbria Tourism led to a 400% business growth from the previous summer.

Utilising Beyonk’s online booking system has meant Graythwaite Adventure has more than halved their general administration duties. Whilst it will never remove admin completely, Beyonk has streamlined the team’s day-to-day responsibilities and their office runs more efficiently. The system has undoubtedly become a fundamental part of the change, direction, and growth of the business.

There are a lot of features we love about the Beyonk system. The fact we’re able to link bookings to our Google calendar is a huge help. We work on a combined pending-booking and instant booking system so once we accept requests and receive bookings, they go straight into the shared Google calendar so the whole team has a live overview of when upcoming bookings are scheduled.
